About the Opportunity

We are seeking a proactive and detail-oriented Project Coordinator to support the successful delivery of complex and high-value projects within our Forward Planning and Asset Management function. This role plays a critical part in ensuring our projects are delivered safely on time, and within budget. You may be supporting major docked maintenance availabilities or managing minor capability upgrades and process improvement initiatives.

Reporting to the Project Manager, you will be responsible for coordinating cross-functional inputs, maintaining project documentation, and driving continuous improvement across all phases of the project lifecycle. You will work closely with departments such as Engineering, Quality, Planning, Production, Supply Chain, PMO, and Finance to ensure alignment and readiness for execution.

Location Requirements

Due to the nature of the program, this role requires a consistent on-site presence at our Henderson facility. Additionally, approximately one-third of your time will be spent at our Garden Island site (HMAS Stirling). As such, a level of comfort with regular local travel is essential.

Responsibilities

As a Project Coordinator, your key responsibilities will include:

  • Supporting the planning, execution, and closeout of assigned projects or project elements
  • Coordinating scopes of work and ensuring delivery aligns with contractual and safety requirements
  • Monitoring project performance, analysing variances, and implementing corrective actions
  • Preparing weekly, monthly, and quarterly reports including Safely on Time data, EAC inputs, and gate review presentations
  • Facilitating stakeholder engagement across departments to ensure project priorities are clearly communicated and met
  • Ensuring compliance with WHS, EEO, and legal training requirements, with no overdue obligations
  • Driving continuous improvement by identifying inefficiencies and contributing to process enhancements
  • Supporting governance activities and contributing to a strong Submarine Safety Culture

About You

You should be a proactive and organised professional with experience supporting complex projects in technical or asset-intensive environments. You can also demonstrate strong communication skills, a collaborative mindset, and a focus on continuous improvement.

You’ll bring:

  • Relevant tertiary qualifications or equivalent experience in project coordination, engineering, or asset management
  • 2–5 years’ experience in a similar role, ideally within Defence or infrastructure
  • Practical knowledge of scheduling, EVM, and stakeholder coordination
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities with minimal supervision
  • A team-oriented approach and commitment to safety and quality
  • Eligibility for a Defence Security Clearance and familiarity with ITAR regulations (desirable)

Eligibility

This role requires a current National Police Clearance, an Australian Defence Security Clearance and an ability to access protected US defence technology. Your eligibility for this role is dependent on you obtaining and maintaining such clearances and approvals.
