About the Opportunity 

This role represents an exciting opportunity to contribute to the pioneering SSN AUKUS Build Program, delivering a vital sovereign capability for Australia. The Administrative Assistant will play a key role in ensuring the smooth operation of program activities, with a strong focus on overseeing and facilitating all overseas travel processes for program staff.  The role will also support general administrative functions, including meeting and diary coordination, expenses and office management.

You will work closely with the Executive Assistant, wider administrative team, senior leaders, project managers, engineers and other stakeholders to maintain efficient workflow and effective communication across the program.

The role is located at Osborne in Adelaide.

 

 Responsibilities 

  • Manage the end‑to‑end overseas travel process for program staff, including flight and transport bookings, payments, accommodation, payments, ID documentation, employee compliance checks, and resolving travel‑related issues.
  • Coordinate and schedule meetings, preparing agendas, taking minutes, and arranging all associated logistics.
  • Prepare, edit, format, and distribute documents, reports, and other program materials to support project activities.
  • Act as a key point of contact for internal and external stakeholders by managing communications, drafting correspondence, and responding to enquiries.
  • Maintain accurate travel and document records, ensuring all information is organised, accessible, and compliant with program requirements.
  • Provide general administrative support to the project team, including data entry, diary management, coordination tasks, and other duties as required to maintain efficient operations. 

 

About You 

  • Ideally have proven experience in managing a high volume of overseas travel requests
  • Experienced in providing accurate, efficient and timely administrative support, ideally within a Defence or complex organisational setting.
  • A strong service mindset to support others, anticipating requirements and always seeking opportunities to refine processes and improve efficiency.
  • Proactive, attentive to detail and skilled at anticipating needs to keep workflows smooth and well‑coordinated.
  • Strong organisational and Microsoft Office capabilities, with strong written and verbal communication skills.

 

Eligibility 

This role requires a current National Police Clearance and an Australian Defence Security Clearance to an NV1 level. Your eligibility for this role is dependent on you obtaining and maintaining such clearance.
